As an administrator for a team of tax accountants at Hall CPA, you are responsible for the organization and transfer of documents during the preparation of returns, accurately processing returns and other deliverables, delivery and communication of returns and action items to clients, and providing general administrative support to the tax team. Keen attention to detail, clear written and spoken communication, the ability to work independently while coordinating with a team, and the ability to work calmly and accurately in a fast-paced environment are essential for success in this position.

As a client-facing role, the tax administrator is critical to provide outstanding customer service to our clients. An important part of this job is to encourage clients to submit documents and answer questions in a timely manner and to assist in holding our team accountable to our protocols for processing and delivery of returns. The tax administrator works closely with a team of admins to accomplish these goals.

Areas of responsibility

  • Ensure tax returns are printed correctly and delivered with all components according to guidelines, as directed by the tax manager and senior tax associate.
  • Ensure clients receive clear instructions for the mailing of tax returns and payment of amounts due.
  • E-filing federal and state tax returns and confirming acceptance or rejection within the EFS system.
  • Monitor team email inboxes to provide direction and assistance to clients or recruit support when needed to answer client questions.
  • Prepare and fax document packages on behalf of the tax team.
  • Process incoming documents within our portal and file systems.
  • Ensure client information is correctly cataloged or updated in our databases.

    • Clear tax team delivery & E-filing queues each day
    • Ensure clients are happy with the process or identify and communicate ways to improve their experience
  • Accuracy
    • Accuracy is determined by an administrative review that helps identify breakdowns in the delivery process and avoid future mistakes
  • Throughput (quantity)
    • Number of Client packages processed (Per what time period)
    • Average time spent for a client package to move through to client acceptance
